Please read the following carefully and acknowledge your understanding and agreement by signing your name in the space provided.
All regulations must be observed at all times. All students are expected to follow the instructor's directions, perform to the best of their abilities, and respect others in the class. In cases of misbehavior, disturbance, or failure to follow rules, parents will be notified and action will be taken if necessary. Our studio reserves the right to refuse service to anyone, and all instructors have the right to dismiss any student(s) from a class depending on the situation. I. GENERAL RULES
A. Basic Conduct
Any updates will be announced or posted via notices or printed materials.
All individuals must respect others and themselves.
Students should greet politely when entering and exiting.
Students should use polite words and actions.
B. Public Area Etiquette
Students and visitors must walk quietly in corridors and public areas as much as possible. (Guardians should guide their children not to run.)
C. Studio Rules
Be quiet and seated during class.
Listen to the teacher carefully.
Raise hand for any questions.
Focus on their work.
No running, No hurrying.
Ask a teacher before touching any studio material.
Notify a teacher immediately if any tools are not working.
The phone is only allowed to be used for reference research or emergency calls.
II. CLASS SCHEDULE AND ATTENDANCE
Class dates and times may be subject to change due to studio circumstances. All changes will be announced in advance.
Parents should ensure children arrive and depart according to their class time. The studio is not responsible for tardiness (e.g., class time extension, tuition fees).
Entry to the studio is permitted starting 5 minutes before class begins. If students arrive earlier, they must wait in the studio lobby.
Drop-off: An instructor will be waiting at the main entrance on the 1st floor for children for 5 minutes before class begins. Parents should stop in front and drop off their child (for children in 5th grade and below only). At other times, parents must accompany their children to the studio or send them up via the elevator.
Pick-up: After class ends, parents can pick up their child at the main building entrance. Children in 5th grade or below will be escorted downstairs by an instructor. If parents cannot come to the studio, they should contact us, and we will send their child downstairs. After 10 minutes past class dismissal, parents must pick up their child directly from the studio.
If parents anticipate being late for pick-up, they must notify us in advance. A charge of $5 will be applied for every 5 minutes beyond a 10-minute grace period.
For absences, parents must notify us at least 24 hours in advance, preferably by text message. The studio is NOT responsible for un-notified absences.
Class time includes approximately 5-10 minutes for breaks and cleanup.
III. TUITION AND REGISTRATION POLICIES
A. Tuition
Prices vary depending on the class type and duration.
Tuition fees may change at the discretion of the studio and will be announced in advance.
The studio reserves the right to cancel any classes due to circumstances. If a class is canceled, full refunds will be issued for unused sessions.
After 5 days from the registration date, tuition fees paid will not be refunded for cancellations due to personal reasons. Un-notified absences are also non-refundable (refer to absence rules).
Group lesson fees are charged monthly and are due in the first week of each month.
For months with 5 weeks: An additional fee will be charged for each class participating in the 5th week.
Private lessons are charged in a set of 4 sessions, and each set expires 6 weeks from the first class day of that set.
All returned checks will incur a $30.00 handling fee per check.
If tuition is not paid within 2 weeks after the registration date, it will be considered a new registration. The parent or guardian must sign for the new policy, and the tuition fee will be adjusted to the price rate at the time of the new registration. All previously applied discounts will be voided.
B. 8th Grade & Higher (Advanced Program) Special Regulations
Absences: No credit will be provided for absences. Make-up lessons are only possible within 3 months from the date of absence. For long-term absences, please refer to "III. D. Long-Term Absence (Hold) Policy."
Special Classes: Additional fees may apply for special classes (including figure drawing) outside of the regular curriculum. Please inquire with the studio for details.
C. Make-Up and Credit
Credit applies only to "notified" (24 hours prior) absences. The first absence receives 100% of the daily rate credit, followed by 50% for subsequent absences. If a discount was applied in the previous month, the discounted price will be applied first to the credit.
Parents or students should consult with Robyn if they wish to schedule a make-up lesson.
D. Long-Term Absence (Hold) Policy (For Monthly Registered Students)
This policy applies to monthly registered students. Students on a 1-year contract should refer to "IV. C. Long-Term Absence Special Regulations for 1-Year Contract Students."
Long-Term Absence refers to a continuous absence of two weeks or more.
Hold Application: Students must complete a hold application form at least one week prior to the start of their leave.
Benefit Retention: During the hold period, the student's spot and all current benefits (e.g., discounts) will be maintained.
Allowed Hold Duration and Deposit: a. Summer Break Period: Long-term absences are permitted for up to 8 weeks. b. Non-Summer Break Period: Long-term absences to retain benefits are allowed once per year, for a minimum of 2 weeks to a maximum of 4 weeks. In this case, a 'Spot Retention Deposit' equivalent to one month's tuition must be paid. This deposit will be converted to the first month's tuition upon return. If the student does not return, the deposit will not be refunded. However, in cases of unavoidable special circumstances (medical certificate or other supporting documents required), exceptions may be discussed with the studio.
IV. 1-YEAR CONTRACT SPECIAL REGULATIONS
A. Contract Benefits and Conditions
Special discount benefits are provided for 1-year contracts.
Deposit Payment: a. A deposit equivalent to 1/3 of one month's tuition is required and can be paid in two monthly installments. b. This deposit will be applied to the student's final month of tuition when they conclude their 1-year contract or definitively leave the studio. c. The deposit is non-refundable.
Early Termination: If a contract is terminated early within the 1-year period, previous months of enrollment will be considered as non-contract, and the difference from the non-discounted rate up to the termination point will be retroactively charged.
B. Contract Renewal
Notification: Parents or students should notify the studio of their intent to renew their contract via text message or email at least one month prior to their current contract's expiration date.
Renewal Terms: Upon renewal, a new contract will be established based on the studio's latest policies and current discount benefits. While some existing terms may be maintained, they are subject to adjustment or change based on studio operational circumstances.
Deposit Retention: The previously paid deposit will remain on file, and tuition for the first month of the renewed contract must be paid separately.
C. Long-Term Absence Special Regulations for 1-Year Contract Students
Allowed Hold Duration: 1-year contract students may apply for a hold ranging from a minimum of 2 weeks to a maximum of 12 weeks per year. (This includes the summer break period, representing the total maximum hold duration per year.)
Spot Retention Deposit: For 1-year contract students, the 'Spot Retention Deposit' for non-summer break absences is waived.
Consequences of Non-Return: a. If a student does not return by their promised date, all maintained benefits will be forfeited, and the 1-year contract will be automatically terminated. b. In such cases, the paid deposit will not be refunded. c. However, in cases of unavoidable special circumstances (medical certificate or other supporting documents required), exceptions may be discussed with the studio.
V. SAFETY & OTHERS
A. First Aid Kit
The studio is responsible for maintaining and restocking first aid supplies. First aid kits are easily accessible to everyone.
The first aid kit is for emergency first aid only.
B. Others
Due to the nature of art classes, children's clothing may get dirty, and some materials may not wash out. Parents should ensure appropriate attire.
Required art supplies will be communicated upon registration. Any additional materials needed will be announced separately.
We are not responsible for lost items or items left unattended for more than 3 months after registration suspension.
No person shall work in the studios while under the influence of drugs or alcohol. Students using medications that cause drowsiness, lightheadedness, or disorientation (including allergy pills) must inform the teaching staff in advance.
Any special physical, mental, or emotional needs of a child must be disclosed to the instructor prior to registration to ensure a fair and effective learning environment for all students.
Parents and guardians are not permitted to remain in the classroom during class time. They must wait in the studio lobby.
Parents and guardians must not interrupt any lessons without a suitable reason. If the presence of a parent/guardian is deemed disruptive to the class, the instructor in charge may ask the parent to leave the studio for better class quality.
If a student damages studio property, the studio will charge a compensation fee based on the value of the damaged item.
VI. STUDIO OPERATIONAL POLICIES
A. Photographs and Videos
Students may be photographed or videotaped during classes. All group and individual photos and videos taken at Robyn Studio may be used for promotional purposes without compensation. For privacy, all faces will be blurred or covered.
B. Waiver Form
Robyn Studio (Eunji Hwang - business owner, volunteers, consultants, and staff) will not be responsible for and will be forever RELEASED from any injury(ies), claims, and/or any other liability arising from your child’s attendance and participation in our services and programs at Robyn Studio, and/or for any lost property left behind by your child. By signing this waiver form, parents agree to indemnify and hold harmless from any injury(ies), claims, causes of action, and/or any other liability arising from their child’s attendance and participation in our services and programs the above-mentioned RELEASES at Robyn Studio. Parents further affirm that they understand the contents of this agreement and are free to choose not to participate in said program or make use of said services. By signing this Waiver, parents affirm that they have decided to allow their child to participate in programs and services provided at Robyn Studio with the full knowledge that the RELEASES will not be liable to anyone for personal injuries and property damage that their child or they may suffer while at Robyn Studio.
